Job Summary

Plans, directs and coordinates client and front desk services for the clients of Jones County Mental Health Center and performs other clerical duties as assigned.

Regulatory Requirements

  • High School graduate or equivalent. 
  • A demonstrated aptitude for general office work. 
  • Computer experience necessary. 
  • A detail oriented individual with the ability to handle multiple tasks, set priorities and meet deadlines. 
  • Previous experience in handling highly confidential matters.
  • Must complete Mandatory Reporter for Child/Dependent Adult Abuse training within four months of hire date.

Job Duties

  1. Coordinates the operation of the office.
  2. Greets people who enter the business office and assists visitors in checking-in.
  3. Answers the telephone and screens/routes call appropriately, taking messages if necessary.
  4. Assists with therapists' scheduling needs and monitors prescribers' schedules to ensure minimal gaps in schedules.
  5. Ensures adequate office supplies are available.
  6. Coordinates requests of IT assistance, copier and fax maintenance, and telephone system service needs.
  7. Serves as a support assistant to all clinical and medical staff.
  8. Maintains cleanliness of office including dusting, vacuuming, and dumping trash in doctors' offices and common areas.
  9. Follows procedure for signing in and out medication samples and PAP medications, if applicable.
  10. Maintains and runs schedules for doctors, pull charts, assists with the dictation process and other necessary paperwork for the doctors.
  11. Moves former client records to storage one year after discharge.
  12. Manages client records according to agency, state and federal guidelines.
  13. Verifies initial insurance eligibility prior to intake appointment.
  14. Obtains consent for treatment, demographic information, appropriate releases of information, and other required intake information from clients.
  15. Is a resource for internal and external customers
  16. Serves on internal planning committees as requested.
  17. Provide written reports to the Hillcrest Mental Health Center Director as required.
  18. Monitors clients' need for prior authorization and additional authorization for service and ensures that authorization is obtained.
  19. Manages daily mailings, including routing information for daily mailings to main office.
  20. Provide clients, families and funders with client history as needed.
  21. Maintains Appointment Fill list as needed and calls clients when there is availability.
  22. Serves as a Support for other community mental health centers when needed.
  23. Assists other mental health centers with Cerner functions, including the scheduler and assists with answering Cerner related questions.
  24. Implements no show policy, maintains no show spreadsheets and uploads no show information to Zirmed.


  1. Assists Finance billing staff in having all necessary billing information and update information as needed in Cerner.
  2. Enters abstract, demo form in Cerner and sets up funding.
  3. Diligently attempts to collect co-pays, co-insurance, deductibles, overdue balances from clients at each appointment and documents on their deposits.
  4. Responds to requests for Protected Health Information in compliance with agency policy and HIPAA regulations, and charges fee amounts when appropriate. Enters charges in Cerner.
  5. Completes a CPC application for those individuals who may be eligible. Assists clients in completing County applications initially and upon expiration.
  6. Balances petty cash bag monthly, submits to finance for replenishment monthly if more than $10.
  7. Prepares weekly and monthly bank deposits and takes the deposit to the bank.
  8. Checks the computer software as each client checks in to determine if any information is needed and updates Cerner as needed.
  9. Verifies insurance information at each appointment and obtains new insurance information and copy of front/back of card if needed and updates Cerner as needed.
  10. Verifies address/phone information at each appointment. Obtains new information as needed to obtain payment for services and updates Cerner as needed.
  11. Sends copies of billing sheets, insurance cards, CPC applications, County Notice of Decision (NOD), and demographic information to the main office when requested.
  12. Responsible for running Teleminder in a timely manner. Reviewing reports for outdated information and updating Cerner as needed.
  13. Reconciles One Card statement and allocates invoices for the mental health center.
  14. Assumes other duties as assigned.
